Bleed, crop marks and safe zones explained for non-designers

What bleed, crop marks and the safe zone are, why a printed menu needs all three, the standard measurements in millimetres, and how to check a file has them before you print.

The printer asks whether your file has 3 mm bleed and crop marks, and you say yes because it sounds like something a file should have. Two weeks later the menus arrive with a hairline of white along one edge of the coloured background, and the fine print near the bottom is 1 mm from being cut off. Bleed, crop marks and the safe zone are the three concepts that prevent exactly this, and they are simpler than the vocabulary suggests. Here is what each one is, why printing physically requires it, and how to check your own file in two minutes.

Why a menu is never printed at its final size

No press prints to the edge of a sheet. Ink needs a margin where the grippers hold the paper, and even a digital press leaves a few millimetres unprinted around the sheet. So a menu is printed on a larger sheet and cut down to size afterwards on a guillotine, often several menus at a time in a stack of hundreds.

That cut is accurate but not perfect. A well-maintained guillotine cutting a stack of 350 g board lands within about 1 mm of the intended line, sometimes a little more when the stack is thick or the paper has moved with humidity. Every number in this article exists to absorb that millimetre.

Bleed: the part you print and then throw away

Bleed is the extension of your design beyond the final trim edge. If a menu has a coloured background, a photograph or a border that touches the edge, that element must continue past the edge into the bleed, so that when the cut lands 1 mm inside or outside the intended line there is still colour under the blade. Without bleed, a cut 0.5 mm too far out leaves a white sliver that the eye finds instantly.

The European standard is 3 mm on every side. Some printers accept 2 mm for small pieces and some ask for 5 mm on large formats, but 3 mm is what to set unless told otherwise. In practice, for an A4 menu at 210 × 297 mm, the artwork and the PDF page are 216 × 303 mm. For A5 at 148 × 210 mm, the file is 154 × 216 mm. The bleed area is printed and then cut away; nobody ever sees it.

A design with a white background and all elements well inside the page technically has nothing to bleed, but the file should still be built with the bleed area and marks so the printer can impose it the same way as any other job.

Crop marks: telling the guillotine where to cut

Crop marks, also called trim marks, are the short thin lines at each corner of the artwork that show exactly where the final edge falls. They sit outside the bleed, so they are cut off with it, and they are drawn in registration colour so they appear on every plate or channel. The operator lines up the blade on those marks.

Marks should be offset from the trim by at least the bleed distance, so a 3 mm bleed needs marks that start 3 mm or more from the trim edge, and they are usually 5 to 10 mm long and 0.25 pt wide. Design software adds them automatically at export; the mistake to avoid is drawing them by hand inside the page area, where they print on the finished menu.

For a bifold, the fold line is marked separately with a short dashed line in the bleed area at the top and bottom, so the finishing department scores and folds in the right place. It is not a crop mark and should not look like one.

The safe zone: keeping text away from the blade

The safe zone is the mirror image of bleed. Bleed pushes colour outward past the edge; the safe zone pulls important content inward away from it. Anything that would look wrong if it were partly cut off, text, prices, a logo, the allergen key, must sit at least 3 mm inside the trim line, and 5 mm is more comfortable. On a menu, that means the outer margins of your layout should be at least 8 to 10 mm so that even with a 1 mm cutting error the type is nowhere near the edge.

The safe zone also applies to the fold. On a bifold, text within 3 mm of the fold line sits in the crease and is hard to read, so the inside margin of each panel should be at least as wide as the outer margins.

  • Bleed: 3 mm beyond the trim on all four sides, filled with whatever colour or image touches the edge.
  • Crop marks: at each corner, outside the bleed, 0.25 pt, registration colour, generated at export.
  • Safe zone: 3 mm minimum, 5 mm recommended, inside the trim for all text and logos.
  • Fold: a dashed mark in the bleed area, and a safe zone of 3 mm on each side of the crease.

How to check a file in two minutes

Open the PDF and look at the page size in the document properties. For an A4 menu it should read 216 × 303 mm, not 210 × 297 mm; if it reads exactly A4, there is no bleed, whatever the designer said. Look at the corners for the small crop marks. Then look at any element that touches the edge and confirm it runs past the crop marks into the margin. Finally, imagine a line 3 mm inside the crop marks and check that no text crosses it.

If the file fails, the fix depends on the design. Adding bleed to a design that has none usually means extending backgrounds and images outward, which is quick if they are solid colours and awkward if they are photographs with important detail at the edge. Scaling the whole design up by 3 % to create bleed is a shortcut that moves everything, including the safe zone, and should be avoided.

Why this gets easier when the file is generated for print

The reason these three concepts trip up so many restaurant owners is that most design tools treat them as export options rather than as part of the page.
