What a menu design costs: agency, freelancer, template or AI compared

Real price ranges in € for getting a restaurant menu designed: agency, freelance designer, DIY template and AI tools, with the hidden costs and when each option makes sense.

Ask five restaurant owners what they paid for their menu design and you will hear anything from nothing to 4,000 €. All five answers can be true, because they are not buying the same thing. Before you compare quotes, you need to know what is inside each price: how many rounds of changes, whether print files are included, who owns the source, and what a price change will cost you in six months. Here are the four ways to get a menu designed, with realistic ranges in € and the costs that do not appear on the quote.

Agency: 1,500 to 4,000 € and a brand to go with it

A branding or hospitality agency rarely sells a menu alone. The menu comes inside a package with the logo, signage, a website and a photo shoot, and the whole thing lands somewhere between 5,000 and 20,000 €. Isolated, the menu part is usually billed at 1,500 to 4,000 € for a full carte with a drinks list, including two or three rounds of amendments and print-ready PDFs.

What you get for that money is coherence: the same typeface on the door, the card and the napkins, and a designer who has already thought about how the menu will look on the table. What you also get is a slow loop. A seasonal update goes through an account manager, and each round of changes is billed at 150 to 300 €. If your menu changes four times a year, add 600 to 1,200 € annually to the initial figure.

Freelance designer: 400 to 1,200 €

A competent freelance graphic designer will design a restaurant menu for 400 to 1,200 € depending on the city, the number of pages and whether they also handle the drinks list. The lower end covers a two-face A4 with two rounds of changes; the upper end covers a bifold plus a wine list plus a lunch card, with a print-ready bundle and a short style guide.

The variable to check is the source file. Many freelancers deliver only the PDF and keep the InDesign or Illustrator source, which means every future edit goes through them, typically at 60 to 100 € per hour. Ask for the source in the quote. Some will add 100 to 200 € for it; that is money well spent if you expect to change prices twice a year.

  • Included in a fair freelance quote: two rounds of amendments, PDF at 300 dpi with 3 mm bleed and crop marks, fonts embedded or outlined, a proof at real size.
  • Rarely included: the drinks list, translations, photo retouching, the printed proof, the source files.
  • Often forgotten: the time you will spend, typically 6 to 10 hours of collecting dishes, checking prices and reviewing drafts.

DIY template: 0 to 60 €, plus your evenings

Template marketplaces and online design tools sell restaurant menu templates from free up to about 60 €. The purchase price is honest; the hidden cost is not. You will spend an evening fitting your 55 dishes into a layout drawn for 30, another finding out why the exported PDF has no bleed, and a third when your local printer sends it back because the fonts are missing or the file is in RGB rather than CMYK.

Templates work well for one narrow case: a short, stable menu (a coffee shop with 20 lines, a pizzeria with a fixed list) run by someone who already knows a design tool. For a full-service restaurant with a carte that changes every season, the template usually ends up as the first draft that a freelancer is paid to fix.

AI menu design tools: 0 to 150 € per menu

The newest option is a specialised AI tool that lays out the menu from your dish list and brand elements. Pricing models differ: some charge a monthly subscription of 15 to 40 €, some a one-off fee per menu, generally between 50 and 150 €. Designing and previewing is usually free; you pay when you export the print files.

The real comparison point is the cost of a change. When the layout is generated from your dish list, a price update or a new dish is a re-export, not a design job. For a restaurant that adjusts its carte four to six times a year, that is the line that flips the calculation against agency and freelance work. The trade-off is that you must be the art director: you choose the style, you judge the drafts, you approve the proof.

The total cost over one year

Take a bistro with a carte of 45 dishes, a drinks list and four seasonal updates a year. Design and printing are separate costs, so let us add printing at typical short-run prices: a bifold A4 on 350 g board costs roughly 3 to 6 € per copy in runs of 20 to 30, so a year of four print runs of 25 menus is about 400 to 600 € regardless of who designed it.

  1. Agency: 2,500 € initial plus four update rounds at 200 € equals 3,300 € in year one, then about 800 € a year.
  2. Freelancer: 800 € initial, with source files, plus four updates at 120 € equals 1,280 € in year one, then about 500 € a year.
  3. Template: 40 € plus roughly 20 hours of the owner's time, plus one likely rescue by a designer at 300 €; call it 340 € and a lot of frustration.
  4. AI tool: 99 € per menu export, so 99 € for the initial version and up to 99 € per seasonal update if you export a fresh print bundle each time, or less if you only change a few lines and reprint in-house.

Which option fits which restaurant

If you are opening a place with a strong concept and a budget for branding, take the agency and get the menu inside the package; the coherence is worth it and you will not update the menu much in the first year anyway. If you have a brand and a stable carte, a freelancer with the source files handed over is the best value per euro. If your menu is short and you like tools, a template will do. If your carte moves with the seasons and you want to keep control, a specialised tool is the cheapest way to stay current without paying for a designer's time at each change.
